How Can IT Teams Back Up Multiple IMAP Mailboxes Before Employee Offboarding?

When employees leave an organization, IT administrators often need to preserve business emails before disabling their accounts. These mailboxes may contain customer conversations, project decisions, invoices, support requests, and other records that the organization still needs after the employee has departed. Managing this process becomes more complicated when several employees leave within a short period or when a company uses multiple IMAP-based email providers.

The first step is to establish an offboarding checklist. Identify which mailboxes require backup, confirm who is authorized to access their contents, and determine the retention period for each account. Some organizations may need a complete archive, while others only need selected folders or correspondence from a particular period. Follow the company's privacy, retention, and access-control policies before processing employee data.

Next, decide where the archived emails should be stored. PST may be suitable for Outlook-based access, while MBOX works with compatible email applications. EML and MSG can be useful for individual message files, and PDF may be appropriate for readable records or documentation. The best format depends on how the organization plans to retrieve and review the archived correspondence later.

Backing up multiple accounts individually can consume considerable administrative time. A batch workflow can help when an IT team needs to process numerous mailboxes. However, administrators should first verify the required IMAP server details, account authentication, and destination storage. Some providers require app passwords or additional authentication steps for third-party applications.

The SysInfo IMAP Email Backup Software supports batch processing of multiple IMAP accounts through CSV input. It can export emails to formats such as PST, MBOX, EML, MSG, PDF, DOC, DOCX, JSON, and CSV, as well as migrate email data to supported destinations such as Microsoft 365, Google Workspace, Gmail, and other IMAP accounts. Folder selection, date filtering, and migration reports can help administrators organize and review the work.

For an offboarding project, I would begin with a small test account. Confirm that the connection works, select the required folders, and check whether important messages and attachments are included. Once the test is verified, prepare the remaining accounts in manageable batches and monitor the processing reports for failed or skipped items.

After each backup, validate a sample of messages and document where the archive is stored, who can access it, and how long it must be retained. Do not disable or delete the original mailbox until the responsible administrator has confirmed that the required information is preserved.

One important limitation is that standard IMAP transfers focus on email messages, attachments, and supported folder information. Contacts, calendars, tasks, mailbox rules, signatures, permissions, and other account settings may need separate handling.

A consistent offboarding process helps IT teams preserve necessary business correspondence while reducing manual work and making archived emails easier to retrieve when legitimate business needs arise.
